Uploading your first RFP

The RFP parser is the engine that powers everything else in VETR. Upload an RFP and the platform extracts the requirements, builds the compliance matrix, and scores the opportunity in about 90 seconds.

Supported formats

  • PDF (any version)
  • DOCX (Word 2007+)
  • DOC (Word 97–2003) — auto-converted
  • Up to 50 MB per file

Steps

  1. Click Upload RFP in the top bar (visible on every page)
  2. Drop your RFP file into the upload zone, or click "Choose File"
  3. Wait for the upload progress bar to complete
  4. Parser runs in the background — typically 60–120 seconds depending on document size
  5. You'll be routed to the RFP detail page when parsing finishes

What the parser extracts

  • Solicitation metadata — number, agency, NAICS, set-aside type, deadlines
  • Section L "shall" statements — every requirement the contractor must meet, page-numbered
  • Section M evaluation factors — how the government will score the proposal
  • Page limits per volume — technical, past performance, price, etc.
  • Required attachments — past-performance forms, OCI plans, small-business plans, etc.
  • Applicable FAR clauses — flagged for compliance review

If parsing fails

Sometimes the parser can't extract from scanned-image PDFs or heavily-formatted Word docs. If parsing fails:

  1. Try re-saving the PDF with OCR (Adobe Acrobat → "Recognize Text")
  2. Or convert DOCX → PDF and re-upload
  3. Or contact support@vetrproposal.com with the original file — we'll reprocess manually

Privacy + security

Uploaded RFPs are stored encrypted at rest in S3 (us-east-1). They are visible only to users in your organization. They are never used to train models. Source-selection-sensitive content is automatically redacted from any AI prompts (CUI redaction service).
